Sample report

Read a whole report before you buy one.

This is a full tenant background check report example from RentKey — every section, every source, every note we'd send a landlord, not a cropped screenshot. Scroll through it, or jump straight to the part you care about.

This sample is fictional. Names, numbers and dates are invented; the layout and wording are real.

The full report

Every section, in full.

This is one report from start to finish: a fictional applicant, a fictional Toronto unit, a Verify Pro package. Each section names its sources, shows its result, and ends with a short note on why it's there.

What this report does not tell you: it does not assess protected characteristics, and it is not a decision. The decision to approve or decline remains the landlord's.

Why it's here: This page lets you act in under a minute. The detail behind every line — sources, timestamps, match confidence — is in the sections that follow, in case you or the applicant ever need it.

Why it's here: A credit file can't tell you if the applicant is who they claim to be. This match ties every later check — credit, sanctions, courts — to a verified person, not a typed name.

Why it's here: Here's how to read a tenant credit report: the score is a starting point, not the answer. Read it against utilization and payment history — 24 straight on-time payments and 21% utilization tell you more than the number alone. A SIN or SSN was optional here and wasn't provided; it only speeds up bureau matching.

Why it's here: Every hit — even a likely false positive — gets a confidence score before it reaches you, and common-name matches are reviewed by hand. Zero potential matches means no name, alias or date-of-birth combination scored high enough to surface for review.

Why it's here: These are matched against the identity verified in section 02, not a typed name — so an applicant with no domestic record but an international notice doesn't pass through unnoticed.

Coverage: Ontario tribunal decisions from their publication date onward; other provinces as published; US county and national eviction coverage is stated per state on every report.

Why it's here: An eviction filing or a rent-arrears order often never reaches a credit file. Coverage varies by province and state — this report says exactly which sources were searched, so you know what's covered and what isn't.

07Enhanced criminal record check

Not included

The Verify Pro package does not include the enhanced criminal record check. It's part of the Complete package, or available as an add-on before you send the invite. Here is what it shows when it's ordered.

OutcomeWhat the report shows (RCMP wording)
Clear“No criminal conviction record found.”
Possible match“A record may or may not exist.” Fingerprint-certified disclosure available to confirm.

Search: the RCMP's national repository (CPIC), through an accredited partner. US applicants: national criminal and sex-offender registry search, itemized the same way.

Why it's here: We show you the wording even when it isn't ordered, so you know exactly what you'd get before you pay for it. Either outcome is itemized — a possible match is never presented as a plain fail.

08Adverse-action / decline notice

Included with every report

If a landlord declines an applicant because of anything in this report, this is the adverse-action notice text the report gives them. It's pre-drafted — only the brackets need filling in.

Notice of adverse action

[Applicant name] — following a request from [landlord / property manager name] dated [date], your application to rent [property address] was declined in whole or in part because of information in a tenant-screening report prepared by RentKey.

You have the right to request a free copy of that report from RentKey within 60 days, and to dispute the accuracy or completeness of anything in it. [US applicants: this notice and these rights are provided under the Fair Credit Reporting Act, including your right to a free report and to dispute inaccurate information with the consumer-reporting agency named above.]

Canadian practice: PIPEDA and provincial privacy law don't prescribe this exact wording, but they give applicants the right to know what was collected and to challenge it — sending this notice satisfies that, wherever the tenancy is. In the United States, the FCRA requires it whenever a decision relies even partly on the report.

Why it's here: You shouldn't have to draft this under time pressure. It's already written — fill in the brackets and send it the same day you decline.

When something is found

A finding is a fact, not a verdict.

Every result above was clear. When one isn't, RentKey itemizes it the same way every time: the authority or court, the matched name and aliases, the nature of the record, the date, and a match-confidence score. Here's what that looks like, in two excerpts from a different, fictional applicant.

Finding
False positive — shared name, different person

Reasoning: date of birth matched on year only, middle name and place of birth did not match the register entry, and the register entry's listed occupation is inconsistent with the applicant's history.

Illustrative excerpt from a different, fictional applicant, shown to demonstrate how findings are disclosed.
Why it's here: A finding is the start of a conversation, not an automatic decline. Read the whole entry, apply the same standard to every applicant, and use the notice text from section 08 if you do decide to decline.

Questions

Questions about this tenant background check report example.

Can I share it?

Yes, with anyone who needs it for the tenancy decision — a co-signer, a property manager, an owner. Share the expiring link rather than the PDF itself; every time it's opened, that's recorded in your account's activity ledger.

How long can I keep it?

As long as your account's retention window allows. When that window closes, the report and its consent record are deleted from RentKey's systems. Anything you saved locally is yours to manage.

Can the applicant see it?

Applicants see exactly what will be checked and consent to it before anything runs. Whether they receive a copy of the finished report is up to the landlord or property manager who ordered it — many share it on request.

What if the applicant disputes something?

Credit-bureau information is disputed directly with the bureau, the same as any credit report. A court, tribunal or sanctions match can be disputed with RentKey — tell us which report and which line, and it's reviewed by hand. See the adverse-action notice for how a decline is disclosed.

Is the sample identical to the real PDF?

The layout, section order and wording are the real product. The applicant, property, dates, score and every finding on this page are invented for this page.
