Tenant screening for property managers & brokerages

One standard for every building, every agent, every province or state.

Different agents, different buildings and two countries shouldn't mean five different ways of screening an applicant. RentKey gives every property in your portfolio one screening standard: the same six checks, the same report and the same audit trail.

Built for teams

Everything a portfolio needs that one landlord doesn't.

Team accounts & roles

Owners, managers and agents work from one account with permissions that match their job, not a shared login everyone uses.

One package per building

Set the screening package once per building. Every agent runs the same checks on every applicant for that listing, automatically.

Shared reports, expiring links

Reports are shared by expiring link, not email attachment, so a report doesn't outlive the reason someone needed to see it.

Activity ledger

An append-only record of who opened, downloaded or shared each report, and when — searchable, and impossible to edit.

Consolidated invoicing

One statement across every building and every agent, instead of reconciling per-report charges from a dozen logins.

Cross-border portfolios

Buildings in Canada and the US sit in the same account, screened to the same standard, on the same invoice.

The operating standard

One screening standard, enforced at every stage.

The same standard applies whether an agent is screening their first applicant or their five-hundredth.

  • Consent captured before any check runs, logged with the report
  • The building's package applies to every applicant on that listing — no agent picks their own
  • Payer default (landlord or applicant) set once at the building level
  • No SIN or SSN required to run the report

Accountability you can show

When a complaint comes in, you have an answer.

A tribunal complaint or a human-rights inquiry usually starts with one question: what did you actually check, and who looked at it? With one package per building and itemized findings on every report, the answer is the same for every applicant on that listing — not whatever the agent happens to remember doing.

The same ledger covers staff changes. When an agent leaves, their access ends, but the record of what they opened, downloaded or shared while employed doesn't leave with them.

Rollout in a week

From first login to every agent screening the same way.

  1. Account & roles

Set up the team account and assign owner, manager and agent roles.

  2. Building packages

Choose one screening package per building, so every applicant on a listing is checked the same way.

  3. Invite templates & payer defaults

Set your standard invite wording and whether landlord or applicant pays, by default, per building.

  4. Go live, ledger on

Agents start sending invites. The activity ledger is recording from the first invite, not from whenever you get around to asking for it.

Brokerages & leasing agents

The same standard, running for every owner-client.

Leasing agents work across owners with different habits and different risk tolerances. RentKey gives every agent one screening standard to run, regardless of whose building it is — so the quality of a screening doesn't depend on which agent handled it.

Share a completed report with an owner-client by expiring link instead of a forwarded email. The owner sees exactly what you saw, for exactly as long as you intend them to, and the share itself is recorded in the ledger.

Owner visibility, on your terms

Give an owner-client read-only access to their own building's reports, or share individual reports as needed. Either way, what they can see is a setting, not a guess.

Questions

Answers for teams and brokerages.

Do you offer volume pricing?

Yes, on request. Tell us how many units you manage and where, and we'll put together per-report pricing for your portfolio.

Can owners see their own building's reports?

Yes, if you choose to give them access. Owner visibility is a permission you set per building or per report — it isn't on by default.

Can we get a data-processing agreement?

Yes, on request. Contact us and we'll provide one alongside your team account setup.

How do we offboard an agent?

Remove their role from the team account and their access ends immediately. Everything they opened, downloaded or shared while employed stays in the activity ledger.

Do you have an API for our PM software?

Yes. Property-management platforms can embed RentKey screening through our REST API, with a white-label report template. See the partner overview.
