Terms of service
Last updated: 16 September 2026
Agreement
These terms are an agreement between you — the customer creating an account or ordering a screening — and Crown Stack Systems, which builds and operates RentKey. By creating an account, ordering a report, or otherwise using RentKey, you agree to these terms.
The service
RentKey is a tenant-screening service that helps landlords and property managers make tenancy decisions. A RentKey report can include identity verification, a credit report and score, sanctions and watchlist screening, law-enforcement notice checks, court and eviction record searches, and an optional enhanced criminal-record check, depending on the package ordered.
RentKey is currently in early access in Canada and the United States. Features, coverage and pricing may change as the service develops, and availability may vary by province, state or partner.
Eligibility and accounts
You must be 18 or older and able to form a binding contract to use RentKey. The information you give us when creating an account must be accurate and kept up to date. You're responsible for activity on your account, including keeping your login credentials secure.
Permissible purpose and lawful use
Every screening you request through RentKey must be for a genuine tenancy decision about a specific applicant and unit — not for any other purpose. By ordering a report, you confirm that:
- The screening is for a genuine tenancy decision, for a specific applicant and unit
- You will obtain the applicant's consent through the RentKey flow before the report is run
- You will use the report in compliance with applicable human-rights and fair-housing law, tenancy law, PIPEDA and, where applicable, the US Fair Credit Reporting Act — including giving any required adverse-action notice if you decline an applicant
- You will not resell, redistribute or share a report outside your own tenancy decision
- You will not use a RentKey report for any employment, insurance or credit decision
Applicant consent
RentKey captures the applicant's consent directly, inside the screening flow, before any check runs. The applicant sees who is asking, what will be checked and why.
You must not attempt to run a check on an applicant outside the RentKey flow, or use information from a RentKey report to run further checks elsewhere without the applicant's separate consent.
Reports and decisions
A RentKey report gives you information. The tenancy decision is yours. RentKey does not guarantee a tenancy outcome, an applicant's future conduct, or that rent will be paid.
Coverage varies by province, state and data source, and each report states what was checked and what wasn't. Some checks can produce false positives, particularly for common names — a report flags this where it applies, and a match should be read alongside the applicant's other details before you act on it. Where a report includes an RCMP CPIC result, it's presented in the RCMP's own wording.
Fees and payment
Reports are priced per screening, at the price shown when you place the order; applicable taxes are added at checkout. You choose, per invite, whether you or the applicant pays.
If an applicant doesn't complete identity verification, you are not charged for that screening. Beyond that, refunds are at RentKey's discretion, and are typically issued when a data source fails to return a result.
Retention and deletion
Reports in your account are kept for seven years from the date each report is produced. When that window ends, the report and the underlying personal information are deleted from our systems. You're responsible for any copies of a report you download or store outside RentKey.
Confidentiality and security
Report links are provided to you to view and share responsibly. You're responsible for keeping your account credentials and any report links secure, and for not sharing them with anyone who shouldn't have access to an applicant's information.
Intellectual property
The RentKey name, the report template and design, and the underlying software are the property of Crown Stack Systems. These terms don't grant you any rights to them beyond using RentKey as intended.
Acceptable use
You agree not to:
- Scrape, crawl or systematically extract data from RentKey
- Reverse engineer or attempt to access the source code of the RentKey software
- Share your account credentials with anyone else
- Use RentKey to harass, discriminate against or intimidate an applicant
Disclaimers
RentKey is provided "as is." We work with licensed and accredited data partners, but we don't control the accuracy or completeness of the underlying bureau, sanctions, court or criminal records, and we don't guarantee uninterrupted or error-free service.
Limitation of liability
To the extent permitted by law, Crown Stack Systems' total liability arising out of your use of RentKey is limited to the fees you paid in the 12 months before the claim. We aren't liable for indirect, incidental or consequential damages, including a tenancy decision you made based on a report.
Indemnity
You agree to indemnify Crown Stack Systems against claims arising from your unlawful use of a RentKey report, including a tenancy decision made in violation of human-rights, fair-housing or privacy law.
Termination
You can close your account at any time. We can suspend or terminate an account that violates these terms, misuses applicant information, or is used for a purpose other than a genuine tenancy decision.
Changes to the terms
We may update these terms as RentKey develops. We'll update the "last updated" date above when we do; continuing to use RentKey after a change means you accept the updated terms.
Governing law
These terms are governed by the laws of Ontario and the federal laws of Canada applicable therein. Any dispute is subject to the exclusive jurisdiction of the courts of Toronto, Ontario.
